Funnel Math for Coaches: How to Predict Sales, Plug Leaks & Scale With Confidence
Let’s get one thing straight:
If you don’t know your numbers, you don’t know your funnel.
And if you don’t know your funnel? You’re flying blind.
I get it — math is the last thing you wanted when you started your coaching business.
You wanted to change lives, not calculate conversion rates.
But here’s the deal:
If you want consistent sales from your email funnel, you need to understand the numbers behind it.
Not spreadsheets.
Not analytics dashboards that make your eyes bleed.
Just a few simple metrics that give you clarity, confidence, and a clear path to scale.
Today, we’re breaking down funnel math for coaches, minus the fluff or complexity.
You’ll leave this blog knowing:
✅ The exact metrics to track (and what to ignore)
✅ How to find and fix bottlenecks in your funnel
✅ And how to use the metrics to sell more with fewer subscribers
Let’s dive in.
First, What Is Funnel Math?
Funnel math is the simple practice of tracking how many people move through each stage of your sales funnel — and how many drop off.
It’s how you turn vague “I’m not sure why it’s not converting” feelings into data-driven action.
For example:
Let’s say 1,000 people visit your opt-in page, and 250 of them sign up.
That’s a 25% conversion rate. Good!
But if only 1 person buys your £47 product?
You’ve got a post-opt-in problem, not a traffic problem.
The Key Metrics Every Coach Should Track
Here are the essential numbers to track in your funnel (ignore the rest):
1. Opt-In Rate
Formula: Number of people who sign up ÷ Number of people who visit the page × 100
Good Benchmark: 30–50%
If this number is low, your freebie or landing page needs work. Try changing the headline or making the benefit more tangible.
This blog on why your funnel isn’t converting breaks down what to fix.
2. Email Open Rate (especially Email 1)
Formula: Opens ÷ Total emails sent × 100
Good Benchmark: 40–60% for welcome emails
If this is low, your subject line is weak, or your audience isn’t interested. Time to work on clarity + curiosity.

3. Click-Through Rate (CTR)
Formula: Clicks ÷ Opens × 100
Good Benchmark: 3–10%
Low CTR? Your emails aren’t selling the click. You need stronger CTAs, more curiosity, or better alignment between the email and the offer.
This blog on CTAs that convert will help.
4. Sales Conversion Rate
Formula: Buyers ÷ Total subscribers × 100
Good Benchmark: 1–5% on cold leads
This is the number that scares most people. But it’s the most powerful.
Because once you know your conversion rate, you can predict your revenue.
Say you’re getting 100 new subscribers per month.
If your funnel converts 2% of them into buyers at £47…
That’s £94/month.
Want to make £1k/month?
You either:
increase the conversion rate
raise the price
or get more leads
That’s the funnel math mindset. You can finally scale on purpose.
Why Funnel Math Beats “More Traffic”
Coaches love to chase visibility.
“Maybe I need to go viral.”
“Maybe I need 10k followers.”
“Maybe I should start TikTok.”
But if your funnel doesn’t convert?
More traffic just means more wasted opportunity.
I’ve seen clients go from 0.5% to 3% conversions just by fixing their welcome sequence.
Same offer.
Same traffic.
6x more revenue.
That’s the power of knowing your numbers.
A Simple Funnel Math Checklist
Here’s your plug-and-play checklist to diagnose your funnel this week:
✅ Do you know your opt-in conversion rate?
✅ Is your welcome email getting 40 %+ open rates?
✅ Are your CTAs getting at least a 3% click-through rate?
✅ Do at least 1–5% of subscribers buy within the first 7–14 days?
✅ Are your emails aligned with your offer (tone, promise, urgency)?
If you’re missing even one, start there.
Small tweaks = big wins.
Don’t Let Math Be the Reason You Miss Sales
The best part about email funnels?
They compound.
Once yours is converting, every new subscriber becomes more valuable.
And that means:
You can spend more money to get them
You can show up less on social without losing income
You can scale your coaching business with confidence
But that only happens if you understand your funnel math.
Otherwise, you’re guessing — and leaving money on the table.
